Vendor Coordination

What does an apartment turnover coordinator do?

Kitchen in a vacant apartment.

An apartment turnover coordinator organizes the approved work between move-out and rent-ready. That can include confirming the scope, scheduling service providers, arranging access with the property team, handling requests for additional work and reviewing completion.

The cleaner, painter and repair provider each have a job to do. Someone still needs to confirm that the unit is ready for their visit, tell the next provider when plans change and follow up on anything unfinished. That is where coordination earns its place.

What should coordination include?

What stays with the property team?

You still approve the scope and price, authorize access and removal of items, and decide whether to approve additional work. Your team also sets the property’s readiness standards and handles leasing and resident decisions.

Coordination does not replace specialized inspections or work outside the agreed services. Ask about those needs before approving the turn.

When is outside help worth considering?

Look at the work needed and your team’s capacity. Several services, overlapping move-outs or a property managed from a distance can make scheduling and follow-up harder to keep in-house. If you already have dependable vendors and someone available to manage them, direct scheduling may suit you.

Our guide to separate vendors versus a turnover coordinator helps you compare responsibilities.

What happens when you send The Frame a turn?

  1. Send the property, unit details, requested services and target date.
  2. We follow up and arrange a walkthrough to confirm condition and scope.
  3. You review the proposed work and pricing before approving it.
  4. We coordinate the approved providers and order of work, bringing additional work or costs to you for approval.
  5. We review completion and photo documentation and provide one consolidated invoice.

The Frame coordinates cleaning, painting, light repairs and trash-outs performed by independent service providers in Toledo and Northwest Ohio. You can request one service or the combination the unit needs.

Before you hire a coordinator

Ask what they handle, what remains your responsibility and how unfinished work is followed up. Confirm availability against the actual scope rather than relying on a turnaround promise alone. Use our walkthrough checklist to prepare the unit details and our quote guide to review the proposed work.
